Fleet Registration is a convenient way for owners of many vehicles to maintain the vehicle registrations on those vehicles.
As an alternative to maintaining individual registrations that expire at different times of the year, anyone owning two or more vehicles is eligible for a fleet registration account. The registration for all vehicles in the fleet account will have the same expiration date. Payment for fleet registration fees are required annually.
Vehicles in a fleet are each issued a "Perm" tab and registration card so there is no need to locate a specific vehicle to place the corresponding tab on the plate.
There are several rules that make up the logic that control fleets. Understanding these rules will help you as you set up and manage your fleets.
This creates the fleet shell into which you will add your vehicles. This is where you will select the registration expiration month that best works for you.
A vehicle can be added to a fleet while renewing the vehicle registration (if within 3 months of the registration expiration.) You can do this yourself using the instructions provided below.
Vehicles can also be added to a fleet when they are being titled and registered in your name. Currently this is facilitated at an MVD field office or Authorized Third Party--just let them know which fleet (renewal month) you want the vehicle added to.
When renewing the vehicle registration:
When initially adding a vehicle to a fleet you will receive a new Registration document that will display "FLEET" as the expiration date. You will also receive a tab displaying PERM FLT instead of an expiration date. These items will be placed with the vehicle. For subsequent fleet renewals you will not receive any new registration documents or tabs.
When removing a vehicle from a fleet it will remain fully registered to you and the registration renewal will continue to be the same month as the fleet it was originally assigned. At your next renewal you will be issued a standard tab with an expiration month (versus a PERM FLT) and you may also be eligible to renew the registration for 1, 2 or 5 years.
You can renew a fleet anytime within 3 months of the fleet expiration.
The steps to renew a fleet are (see each section below for details):
When you start the fleet renewal process, AZ MVD Now will calculate and display Total Fees needed to renew the fleet.
For customers who desire a listing of the fees per vehicle in the fleet you can generate a Fee Breakdown. To generate a Fee Breakdown you must request it a few days prior to when you intend to renew. The process to create the Fee Breakdown runs overnight.
If the Renew Now button is not present, the fleet is not yet eligible for renewal. Must be within 3 months of the fleet expiration to renew. |
If you want a listing of the fees per vehicle, generate a Fee Breakdown. This is an Excel/CSV summary of all the vehicles in the fleet, listing the following:
The Fee Breakdown lists all the vehicles in the fleet, the fees that will be charged for the renewal and whether or not an Emissions or Form 2290 is required.
Important: Although it is recommend you resolve any requirements prior to renewing your fleet, you can still renew the fleet even if those items are outstanding. For vehicles that require emissions or proof of insurance, they will NOT renew with the fleet and will be listed in a Vehicle Exceptions summary once the fleet is renewed. You will need to resolve the issues and manually renew each of those vehicles. See Check/Resolve Vehicle Exceptions after the fleet has been renewed for more information.
All fleet renewals MUST be paid for using Account Funds. The only exception is if you have an Authorized Third Party or the MVD Fleet Services Division process the fleet renewals for you. You will not be able to start your fleet renewal UNLESS your fleet account has been funded for the entire amount of the fleet renewal. If after the fleet has processed, if there are excess funds, you can go to My Account > Request Disbursement to have the funds returned to you.
Any amount under $2,000 can be funded with a Credit Card. If the amount to be funded is greater than $2,000 you will be required to use eCheck (ACH transfer) to fund your account. If that payment type is not an option for you, you can go into an MVD field office or Authorized Third Party provider to pay by cash, check or credit card. |
You can start the process to Add Funds to your account either in the Fleet Management section or from My Account > Add Funds. If you use Add Funds in the Fleet Management section you will have easy access to the amount needed to renew the fleet.
Note: if you will be using this account in the future, you will have the option to save it for future use.
Smaller fleets can take minutes to renew all the vehicles. Larger fleets may take hours. If you start a fleet renewal it MUST be complete before midnight of the date you start the process. It is best to kick off fleet renewals in the morning. Use this reference to determine the optimal time to kick off a fleet renewal to avoid issues.

Once you kick off the fleet renewal it cannot be stopped. The system will:
If your fleet renewal is stopped due to hitting the 11:50 p.m. deadline, any vehicles that have not been processed through the fleet renewal will need to be manually renewed (one by one). Again, it is better to start earlier in the day to avoid this issue. |
Once the fleet is renewed (Status = Active) you can go to My Account > See All Documents to view and/or print the payment receipts or registration. Remember, fleets do not generate new tabs or registration cards since they are considered Permanent. Printing any of this is optional.
Also, when viewing the fleet you will now see the updated Registration Expiration. If a vehicle did not renew due to an issue (emissions, missing insurance, etc.) the expiration date will not be updated.
It is possible that one or more of the vehicles in your fleet will not be renewed during this process. Reasons why this would occur:
You will have the ability to resolve the issues and then renew those vehicles individually. Note, the renewal funds for those skipped registration renewals will remain in your Customer Account to be used when you manually renew.
Once a fleet has been renewed, if any of the vehicles were not renewed you can identify them in two ways:

If you've accident added a fleet, or want to delete a fleet for any reason, you can easily delete it. If there are any vehicles remaining in the fleet at the time your delete the fleet, they will remain fully registered to you and the registration renewal will continue to be the same month as the fleet it was originally assigned. At your next renewal you will be issued a standard tab with an expiration month (versus a PERM FLT tab) and you may also be eligible to renew the registration for 1, 2 or 5 years. You can also add any of those vehicles from the deleted fleet to a different fleet, provided the registration expiration is within 3 months of the fleet renewal date.
This is because the fleet is not currently eligible to renew. Can only be renewed within 6 months of the registration expiration.
If the non-profit takes advantage of the Vehicle License Tax exemption, you cannot currently use AZ MVD Now to manage your fleets. You will need to contact MVD's Fleet Services Unit at [email protected] or call 602.712.8809.
